Help & FAQ
Short answers to the questions people ask most. Can’t find yours? Email support@kairosaitech.com.
How do I connect Gmail?
Open the Overview or Settings page and choose Connect Gmail. Google will ask you to pick an account and approve one permission: send email on your behalf. Once you approve it you’ll land back on a “Gmail connected” page.
By default Dispatch cannot read your inbox. It only sends the messages you queue, and stores nothing from your mailbox. If you turn on Gmail labels in Settings, it also tags the messages it sent with Dispatch/Opened, Dispatch/Hot, Dispatch/Clicked and similar labels — see the Privacy Policy.
How do signatures work?
Write your signature on the Signatures page, or paste it from Gmail. Dispatch appends it to every message, and if you keep an English and a Chinese signature it picks the one matching the language of your draft. You can also pick a specific one per campaign in the composer.
Why is there a daily limit?
Cold mail that leaves a Gmail account in a burst gets flagged. Dispatch paces sends with a per-day cap and a gap of roughly a minute between messages so your account looks like a person, not a script. Messages beyond the cap aren’t lost — they roll into tomorrow’s queue automatically.
Your current cap and delay are shown in Settings. Gmail also enforces its own ceiling, which Dispatch stays comfortably under.
Do I have to add an unsubscribe link?
No — Dispatch adds a one-click unsubscribe link to every message automatically. When a recipient uses it, they’re marked as unsubscribed, any pending follow-up to them is cancelled, and the event shows up in your activity feed. You’re still responsible for the rest of your legal obligations (truthful subject, sender identity, a lawful reason to contact each person); see our Terms.
How accurate are opens and clicks?
Opens are counted with an invisible image; some mail clients block images or pre-load them, so opens can be under- or over-counted. Clicks route through a Dispatch redirect and are reliable, though security scanners occasionally follow links before a human does. Replies are detected from your Gmail and are the most trustworthy signal.
How do I disconnect Gmail?
Go to Settings → Gmail connection → Disconnect. Dispatch deletes the stored token and asks Google to revoke it on the spot. Anything still queued pauses until you connect a mailbox again; your campaigns and reports stay. You can also revoke access yourself at myaccount.google.com/permissions.
How do I delete my data?
Email support@kairosaitech.com from the address you signed up with (there’s a pre-filled link in Settings). We remove your account, campaigns, recipient lists, tracking events, and tokens within 30 days and confirm by email.
Dispatch says Gmail needs to be reconnected. Why?
Google stops honoring a connection after a password change, a security review, or if you revoked access from your Google account. Nothing is lost — press Reconnect Gmail, approve the permissions again, and queued messages resume.
How do I automate a daily CSV import?
Generate an API key on the Settings page, then have a cron job, Zapier, or a GitHub Actions workflow POST JSON to https://your-dispatch-app/api/addon/campaign.import with an X-Dispatch-Api-Key header carrying the key, and a csv field holding your CSV as a JSON string. The CSV needs a header row with an email column, plus name, subject, content (or bodyHtml), and sendAt.
Every import — from this key, the add-on, or the web app — lands as an unsent draft, never a live send; open the campaign and press Send when you've reviewed it. The key can only create drafts: it can't send mail, touch existing campaigns, or disconnect Gmail.
CSV=$(python3 -c 'import json; print(json.dumps(open("recipients.csv").read()))')
curl -sS -X POST "https://your-dispatch-app/api/addon/campaign.import" \
-H "X-Dispatch-Api-Key: $DISPATCH_API_KEY" \
-H "Content-Type: application/json" \
-d "{\"name\": \"Daily sync $(date +%F)\", \"csv\": $CSV}"
